Shipping Corporate Gifts to a Client List

How to clean a client gift list, pick office or home addresses, turn one CSV into labels, split cost by department and ship before offices close.

To ship corporate gifts to a client list, clean the list first, choose an office or home address for each recipient, and mark each row residential or commercial before you buy anything. Then build one CSV with a department reference on every row, buy the labels in one batch, and ship while each office is still staffed. Put the gift message on a printed card inside the box.

For the last ship-by date for each carrier service, use our 2026 holiday shipping deadlines. This post covers the work around those dates.

How do you clean a client gift list before you buy labels?

Give one person ownership of the list, remove duplicates, and confirm each address with the person who knows the client. Lists arrive from several sales reps in several formats, so the same contact can appear twice with two addresses.

  1. Collect into one sheet. Set one deadline for reps to submit names.
  2. Remove duplicates. Match on person and company, not only on address.
  3. Split the fields. Name, company, street, city, state and ZIP each get a column. Put the suite, floor or mail stop in the second address line.
  4. Confirm the address. Ask the account owner whether the contact still works at that site or now works from home.
  5. Mark residential or commercial per row, using the rules below.
  6. Add a reference with a department code on every row.
  7. Check gift rules. Some client organizations limit what staff may accept, so ask the account owner first.

Run the cleaned list through an address check before purchase and fix the rows it flags. Our guide to fixing address validation errors covers the usual causes, such as a missing suite number or a ZIP code that does not match the city.

Should a client gift go to the office or to a home address?

Send it to the office when the recipient works there on a normal schedule; send it home only when the recipient gave you that address and agreed to it. A home address is personal information, so never guess it.

The choice changes the charge. The UPS Terms and Conditions of Service (effective April 17, 2026) define a Residential address as a home, including a business operating out of a home, and a Commercial address as any address that is not Residential. The FedEx 2026 Service Guide applies a residential delivery charge to shipments addressed to a home, including a business run from a home, at a 2026 list charge of $6.45 per package for FedEx Ground and FedEx Home Delivery and $6.95 for U.S. express package services. FedEx reserves the right to assess that surcharge on shipments delivered to a home, so mark each row the way the address really is.

Example: 40 of 325 recipients asked for home delivery. At the FedEx Ground list charge, those 40 packages carry 40 x $6.45 = $258.00 in residential charges on top of the base rate.

FedEx also says it delivers to hotels, hospitals, government offices, university campuses and other facilities with a mailroom or central receiving area to that area, unless otherwise authorized. The gift may wait in a mailroom, so include the recipient's full name, the company and the floor or mail stop. For more, see commercial vs residential delivery on B2B orders.

What happens if nobody is there to accept the gift?

The carrier reattempts and then sends the package back, and on UPS the shipper pays for the return trip. According to the UPS InfoNotice help page, UPS may make up to three delivery attempts at its discretion on regular UPS delivery days, excluding UPS holidays, then returns undeliverable packages to the sender. Under the UPS tariff, that return is charged to the shipper as a new shipment from the original delivery address to the return address.

FedEx says it will attempt to get a signature at nonresidential addresses, and where a signature is required it may make up to three attempts, hold the package 2 more business days, then return it as undeliverable. The guide also says the shipper or payer is responsible for knowing the days and times the recipient location can accept FedEx deliveries. If FedEx was told the recipient is closed, it may skip delivery within the service commitment, charges stay based on the service selected, and the Money-Back Guarantee does not apply.

How do you turn one gift list into hundreds of labels?

Turn the cleaned list into one CSV with one row per box, and buy all the labels in one batch once the rows pass their checks. Match the header names to your shipping tool's template.

Field What goes in it Why it matters
Recipient name The person, as they want it written Mailrooms sort by name
Company The client's company Helps central receiving route it
Address lines 1 and 2 Street, then suite, floor or mail stop A missing suite can strand the box at the front desk
City, state, ZIP Confirmed with the account owner Address checks flag mismatches
Residential Yes for homes, no for offices Changes the rate
Weight and box size The packed gift The rate is quoted from these
Reference Department code plus a number Lets finance split the cost

Weigh and measure one packed gift first; if every gift ships in the same box, one measurement covers the file. A recipient who gets two boxes gets two rows with the same reference. Test five rows before you import the full list.

How do you split corporate gift costs by department?

Put the department in the reference on every row, then group the shipping records by that reference. A short, fixed format such as SALES-0142 sorts cleanly.

Department (example) Reference range (example) Gifts (example)
Sales SALES-0001 to SALES-0180 180
Marketing MKT-0001 to MKT-0120 120
Executive office EXEC-0001 to EXEC-0025 25

Set the format before reps submit names, and agree with finance on who pays for returns and reshipments, since those arrive after the run. If gifting is one of several shipping jobs for business clients, our B2B shipping software overview covers the wider setup.

When should corporate gifts ship before offices close?

Ship office-bound gifts in the first half of December 2026, and leave the week between Christmas and New Year's out of the plan unless the client confirms the office is open. An undeliverable box can come back at your cost.

UPS's 2026 holiday shipping schedule lists no UPS pickup or delivery on November 26, 2026, December 25, 2026 and January 1, 2027, delivery for all services on December 24, and no UPS Ground pickup or delivery on December 31. Our carrier holiday schedules for 2026 post covers USPS, UPS and FedEx day by day. Ask each client contact when their office closes; only the client can tell you.

Where GoatLabels fits

GoatLabels imports a bulk CSV of up to 500 rows per file, checks each row separately and names its errors in plain words, so one bad address does not fail the batch. It checks each destination address before purchase, a Residential yes/no toggle feeds the quote, and each row is rate-shopped with the lowest-priced usable rate picked, which you can override. A column named Order Number, Order ID, Order, Ref or Reference becomes the shipment reference, and each label posts to the prepaid wallet as a ledger line such as "Label purchase SALES-0142". Search shipments by reference, or pull the ledger from the API to total by department. Packing slips print in bulk with labels and item prices can be turned off. See bulk shipping labels from CSV.

The limits matter for gifts. Your reference stays on the shipment and its ledger line for finance. The Residential toggle is your call, and carrier adjustments after delivery post to the same wallet. The Free plan covers 50 shipments a month, so a 325-gift run needs Pro, a flat $40 a month with unlimited shipments.
